JOB DESCRIPTION –Part- time Administrative Assistant (3-days a week/flexible)

The Canadian Positive Psychology Association (CPPA) is a registered not-for-profit organization that focuses on improving the psychological health of all Canadians through the research and application of positive psychology across Canada. Our primary operations include running local educational events and national bi-annual conferences that attract an international audience.


We are currently looking to expand our administration capacity with this new position which will support the board of volunteers and the president. The administration supports every aspect of agency function including volunteers, basic bookkeeping, fundraising, board administration, procedures, marketing announcements, social media and website upkeep. This is a fast paced, lean environment which requires multi-tasking, flexibility and willingness to help out wherever there is a need.


You are self-motivated, able to take initiative and work with minimal supervision. You are able to prioritize your work and juggle many tasks. You are extremely detail-oriented, conscientious, thorough, friendly, enjoy learning and taking on new challenges. You are a good communicator, both verbally and in writing and have strong organizational skills. You can work independently and as part of a team.

Responsibilities:

  • Provide administrative support to the board of volunteers and specifically to the president
  • Provide assistance to the book keeper and accountant with various financial tasks
  • Maintain filing systems both electronic and hard copy
  • Correspondence including phone calls, emails, photocopies, mailings, letters, minute-taking
  • Manage various customer service inquiries both internally and externally with our members
  • Updates to the website and posting to various social media sites
  • Send all marketing email announcements
  • Handling of workshop registrations and queries
  • Some event planning and conference coordination

Qualifications to include but not limited to:

  • At least 5 years of experience in an administrative role
  • Excellent oral and written communications skills
  • Extremely detail oriented and able to follow through with tasks with little supervision
  • Expert knowledge of most of the Microsoft Office Suite, specifically Outlook, Excel, PowerPoint and Publisher
  • Experience with Constant Contact email marketing a plus
  • Graphic design experience a plus
  • Experience working with QuickBooks and a willingness to learn
  • Experience updating website content, experience with Wild Apricot a plus
  • Experience with social media including Facebook, twitter and LinkedIn
  • Aptitude for learning new software programs
  • Honesty, integrity and positive attitude

Salary: To be discussed

Starting Date: Immediately (we are flexible)
